5 signs your business needs a custom app

5 signs your business needs a custom app

We talk to a lot of companies that aren't sure if they need custom software or if they can keep getting by with the tools they already use. It's a fair question. Building an app is a serious investment and not everyone needs one.

But over the years we've noticed some patterns. There are specific situations where off-the-shelf tools stop working and custom software becomes not just nice to have, but necessary. Here are the five most common ones we see.

1. Your team lives in spreadsheets

This is the biggest one. If your operations run on a collection of Google Sheets or Excel files that someone has to manually update every day, you're probably losing time and making errors that you don't even know about. We've seen companies where a single misplaced formula caused weeks of bad reporting before anyone caught it.

A custom app doesn't need to be complicated. Sometimes it's just a simple internal tool that replaces a spreadsheet with a proper database, adds some validation, and gives you a dashboard. The ROI on that kind of project is usually measured in weeks, not months.

2. You're paying for 10 tools that don't talk to each other

Slack, Trello, HubSpot, QuickBooks, Google Drive, Airtable... You know the drill. Each tool does its thing fine on its own, but your team spends half their day copying data from one place to another. Or worse, you've got three different sources of truth and nobody knows which one is current.

Custom software can consolidate your workflows into a single system that's designed around how your team actually works. Not how some other company thinks you should work.

3. Your customers keep asking for something you can't do

If you're regularly hearing "can you do X?" from customers and the answer is "not with our current setup," that's a signal. Especially if the feature they're asking for would give you a competitive advantage.

This one's straightforward. If the market is telling you what to build, listen.

4. You've outgrown your current platform

This happens a lot with companies that started on Shopify, WordPress, or some other platform. It was perfect when you were small, but now you need things the platform can't do. You're fighting against the limitations instead of building your business.

Migrating off a platform is scary and it should be planned carefully. But staying on a platform that's holding you back is more expensive in the long run. The cost isn't just the monthly subscription, it's all the business you're not capturing because you can't move fast enough.

5. Your competitors have something you don't

If your competitors launched a customer portal, a mobile app, or an automation system and you're still doing things manually, you're falling behind. This isn't about keeping up with trends. It's about your customers comparing their experience with you to their experience with someone else.

You don't need to copy what your competitors built. But you should understand why they built it and figure out what the right move is for your business.

So what do you do?

If two or more of these sound familiar, it's worth having a conversation about what custom software could look like for your business. It doesn't have to be a massive project. Some of the most impactful things we've built were small, focused tools that solved one specific problem really well.

The first step is always a conversation. No commitment, no pitch. Just a real discussion about what you're dealing with and whether building something makes sense. If it doesn't, we'll tell you.
